If you have not yet created schedule Templates, please visit that section first!
After creating templates, they will load auotmatically to avoid repetitive data
entry.
Appointment Book screen areas:
1. Title Bar - provides information on what day, facility, and
type of view is being shown
2. Allows quick selection of date to change
days
3. Quickly change facilities or the way the schedule is displayed by
column heading
4. Color coding legend for status (background) and text
(foreground) colors (defined in Scheduling
Options)
5. Facility notes for the day selected.
6. Instant case
information for appointments selected

To begin scheduling cases, right-click on any time slot in a provider's column to display the popup menu below.

If selecting "Schedule Appointment", the case list below will open.

Select a case by typing in the first few letters of the patient's last name in the 'Search for...' box. Once the case you want is highlighted, hit the enter key. Alternatively, double-click on a case in the grid list. If you are scheduling cases in certain rooms or for certain resources, click the desired items in the lists shown and then click the 'Save' button. |

| Once a case is scheduled, immediate information is
available in the Appointment Info box. Anytime an appointment is selected
on the screen, this box will be updated. This box lets you know the name of the patient, who they are scheduled with, who scheduled the appointment, the room (if any) the patient is scheduled to be in, the resource (if any) the patient will be using, and the type of patient the case is. If a script was entered for the case, the visits remaining and the script end date are displayed. There is also a 'Note' field that can be used to enter any additional note needed for the appointment selected. You may also notice that this appointment has a light blue background color. This indicates the first appointment for this case based on the color coding legend in the first figure. The patient name is also in bold letters. This indicates that the patient has a co-pay due. |

| Facility and provider statistics are tracked according to
the status assigned to each appointment. Use the status menu to change an
appointment status. Right-click any appointment, hold the
mouse over 'Update Status' to get the status menu to appear, then select a
status. Depending on some scheduling
options, the status menu may look different than the one
shown. The background color of the appointment will then change to the status selected. If a co-pay is due for the patient, a message box will appear to remind the user that it's due! |

You can see here that multiple patients can be scheduled in the same time slot (unless their case has been set to 'No Double Book' or the option is not selected to allow this feature). If a second patient is added to a time slot, the time slot row "grows" automatically and creates places the appointment in its own slot. Another example on this screen is the scheduling of the patient Mark Adams in Room1 for the Traction Machine. This shows that rows also grow to show all the information for an appointment. The figures below show that by changing the schedule view on the right hand side from 'By Provider' to 'By Room' or 'By Resource', we get the views to the left with the room or resource replacing the provider column heading. Notice that the appointment slot still contains all the information needed. Scheduling can also be performed on these views as normally would be done. |

Right-clicking on a column heading will show the popup menu in the figure to the right. Select 'Weekly View' to view a provider's weekly schedule. Multiple weekly schedules can be open at the same time. |

As with the regular appointment book, appointments can be scheduled on this weekly view. All other functions on the right-click menu are also available.
